Special Artisan Events

1. Market Overview
The Orchard Farmers Market and Orchard Special Events is operated by A&B Market LLC in partnership with The Orchard Town Center. The market prioritizes consistent participation, quality vendors, and a positive customer experience for customers and vendors alike.

The following 2026 events are available for vendor participation:
• June 20th | 4:00 PM – 8:00 PM | Summer Solstice: Here Comes the Sun
• September 19th | 4:00 PM – 8:00 PM | Mexican Independence Day
• October 11th | 11:00 AM – 5:00 PM | Spooky Sweet Stroll
• November 14th | 3:00 PM – 8:00 PM | WinterFest

Each event is thoughtfully curated, with priority given to those whose products and presentation align with the theme and overall experience of the event.

2. Application Process
Interested vendors must submit a completed online application along with all required documentation. Submission of an application does not guarantee acceptance into the market.

Vendors will be notified of acceptance within approximately three (3) weeks of receipt of a complete application. Incomplete applications may delay approval.

Upon acceptance, vendors must submit the required participation fee in order to confirm and guarantee their space in the market. Until fees are paid, the product category will remain open to new applicants.

3. Vendor Eligibility
Participation is open to:
• Specialty food vendors
• Artisan and handmade goods
• Boutique and curated retail
• Floral and plant vendors
• Interactive vendors
• Seasonal vendors

All vendors are subject to a curated selection process to ensure a balanced mix of product categories, price points, and overall market experience. Preference will be given to vendors offering unique, high-quality, and visually engaging products or services that complement and enhance the theme of each event.

Food products must be produced in a commercial kitchen or comply with Colorado Cottage Food laws and labeling requirements. All vendors are responsible for understanding and complying with applicable health and safety regulations.

4. Participation Fees & Attendance Policy

A non-refundable participation fee is required to secure a vendor’s space.

The fees for each 10x10 space are as follows:
• June 20th $180
• September 19th $180
• October 11th $250
• November 14th $250

Fees are structured to reflect the unique nature of each event, including duration, timing, and expected customer engagement.

Vendor space is not confirmed until full payment has been received. Participation fees must be paid within seven (7) days of acceptance unless otherwise specified. Failure to submit payment within this timeframe may result in forfeiture of the vendor’s space.

Due to the limited number of event dates and the curated nature of these markets, all participation fees are non-refundable and non-transferable, regardless of reason, including vendor cancellation, scheduling conflicts, or unforeseen circumstances.

Vendors are expected to attend all dates for which they are approved and registered. Failure to attend a scheduled event may impact eligibility for future events.

In the event a vendor is unable to attend, they must notify market management as soon as possible. Vendors may not assign, transfer, or sublet their space without prior written approval from market management. Any approved replacement vendor must meet all market requirements and is subject to the same application and approval process.

5. Weather Policy
This is a rain-or-shine event. Vendors are expected to come prepared for outdoor conditions, including wind, heat, or light rain.

In the event of inclement or severe weather, market management reserves the right to delay, modify, or cancel the event in the interest of safety.

Participation fees are non-refundable in the event of weather-related cancellations or disruptions, including those initiated by management, the property, or local authorities. Market management also reserves the right to cancel or modify any event at its sole discretion. Refunds, credits, or priority placement for future events may be offered at management’s sole discretion.

In certain circumstances, management may, at its sole discretion, offer priority placement or consideration for future events.

6. Vendor Priority & Booth Placement
Attendance, timely payment, and compliance with market policies will be used to determine:
• Booth placement priority during the season
• Priority consideration for returning vendors in future seasons

Vendors with strong attendance and compliance will receive earlier booth selection and renewal priority. Vendors with repeated absences, late payments, or compliance issues may be placed on a waitlist or denied future participation.

7. Sales Tax Responsibility
All sales, including food for home consumption and cottage foods, are subject to a 3.85% sales tax.

Vendors are solely responsible for collecting and remitting sales tax directly to the City of Westminster. A&B Market LLC does not collect or remit sales tax on behalf of vendors.

8. Licensing & Insurance
Licensing:
Vendors must comply with all applicable local, state, and federal regulations and provide current copies of required licenses, permits, and certifications.
Insurance:
Food vendors must carry general liability insurance and list A&B Market LLC as an additional insured.
Failure to maintain required documentation may result in removal from the market.

9. Space Assignments & Equipment
Each vendor space is approximately 10 feet by 10 feet. Space assignments are determined by the Market Manager.

Vendors are responsible for providing all tents, tables, chairs, displays, and fixtures. Electricity is not readily available so vendors are asked to plan ahead with battery operated lighting and heating as necessary.

All tents must be properly weighted with at least 25 pounds per leg.

The Orchard Town Center reserves the right to relocate the market within the property if necessary. Vendor participation agreements remain in effect in such circumstances.

10. Market Operations Rules
Vendors must:
• Arrive by the designated set up time
• Remain set up until market close
• Maintain a clean, safe, and attractive booth space
• Remove all trash and leave the space in the same condition as upon arrival
• Treat customers, vendors, and market staff with courtesy and professionalism

Discrimination, harassment, illegal activity, possession of alcohol or controlled substances, smoking, unauthorized distribution of materials, and unauthorized signage are prohibited.

Pets and animals are not permitted in the market, except service animals assisting individuals with disabilities. The sale of live animals is prohibited.

Each vendor booth must be supervised at all times by a responsible individual 16 years of age or older who is knowledgeable about the products being sold.

11. Enforcement & Termination
Violations of market rules or policies may result in verbal or written warnings. Serious or repeated violations, including non-payment or late payment of fees, may result in removal from the market or denial of future participation. Decisions made by the Market Manager are final.

12. Indemnification and Liability
All vendors agree to indemnify, defend, and hold harmless A&B Market LLC, Orchard Farmers Market, and The Orchard Town Center, including their agents, members, and employees, from any claims arising from vendor activities.

A&B Market LLC is not responsible for transactions between buyers and sellers, theft, accidents, or lost or stolen property.

A&B Market LLC, Orchard Farmers Market, and The Orchard Town Center shall not be liable for any indirect, incidental, or consequential damages, including loss of sales or profits.

Total liability shall not exceed the participation fees paid by the vendor.

A&B Market LLC does not guarantee attendance, customer traffic, or vendor sales.

13. Media Release
Vendors grant permission for A&B Market LLC, Orchard Farmers Market, and The Orchard Town Center to use photos or video of booths and products for marketing purposes without compensation.

14. Agreement Acknowledgment
By submitting this application and participating in the Orchard Farmers Market and Orchard Special Events, the vendor acknowledges that they have read, understood, and agree to comply with all rules, policies, and procedures outlined in this agreement.
